Position Summary

Marketing, Operations & Project Coordinator provides marketing coordination, project management, logistical support, and general support for the Montana Bioscience Cluster Initiative (MTBSCI), a federal contract award secured by prime contractor, MonTEC in conjunction with the Montana World Trade Center and other MTBSCI partners. Candidate will assist with marketing, promotion and program execution by developing and disseminating organizational promotional materials, coordination of events such as training sessions and trade show outreach, compilation of ongoing contract reporting as well as general administrative duties as assigned.

Reports to: MonTEC Director of Operations & Montana World Trade Center (MWTC) Executive Director, Brigitta Miranda-Freer

Marketing & Media Responsibilities:

  • Increase positive public exposure of initiative by creating and executing marketing social media postings that may be used by all MTBSCI partners in their respective social media platforms.
  • Create and post relevant MTBSCI messaging and/or social media content to MonTEC and MWTC websites.
  • Coordinate upgrades to the MWTC and MonTEC websites to highlight bioscience activity in Montana.
  • Create new promotional materials and press releases for upcoming MTBSCI events, trainings and activities.
  • Communicate as appropriate with MTBSCI partners to ensure continuity and coordination of messaging.
  • Coordinate media coverage of events and press releases with other MTBSCI partners and across channels.
  • Coordinate participation of Congressional delegation and/or state or local government representatives at MTBSCI events as appropriate.
  • Develop and implement mechanisms to capture bioscience activity in Montana to provide content for and track the impact of marketing and media.

Project Coordination Responsibilities:

  • Coordination and execution of all MTBSCI training events including training event marketing to secure critical mass of participants, securing venues, ensuring proper technology is in place for event recording, MTBSCI partner coordination, securing catering, developing collateral materials for event participants, ensuring proper signage on site.
  • Transition events to online platforms as needed to expand the audience and address health and safety issues.
  • Coordination of the MTBSCI 4th F Fund grant nomination and application process.
  • Occasional representation of MTBSCI at bio industry trade shows such as Bio International.
  • Represent MTBSCI at various in-state events.
  • Assist MTBSCI partnering entities with event coordination as needed (e.g. ensuring signage is loaned out and returned intact, providing electronic files for collateral materials which may be used by any MTBSCI partner).
  • Perform surveys of bioscience firms and stakeholders as needed to guide the MTBSCI activities and evaluate its effectiveness.
  • Comprehensive, professional compilation of MTBSCI quarterly and annual reports which will be available for review by Brigitta at least one week prior to the SBA submission deadline.
  • Ongoing communication with Brigitta to ensure that all parameters of the MTBSCI contract award are being met as well as immediate notification of any parameter or metric that may be in danger of not being achieved ensuring sufficient lead time for corrective action.

Logistical and General Support Responsibilities:

  • Arrange facilities, amenities, travel and hotel accommodation for MonTEC and MWTC staff relating to MTBSCI meetings and events in compliance with federal guidelines.
  • Coordinate monthly MTBSCI conference call and provide follow up notes and administrative action items to all MTBSCI partners post call.
  • Send reminders as needed to MTBSCI partners regarding topics such as quarterly report submission content, metrics tracking, pre-auth for travel requiring overnight hotel stays.
  • Provide line items and all receipts for monthly invoicing MonTEC must provide to federal funding body, tracking your time as required by federal contract.
  • Ensure all office equipment is functioning as required and with service contracts where appropriate.
  • Maintain sufficient supplies to support the office needs within budget.
  • Assist with general document/form creation and file management.
  • Assist with mailings, database and CRM upkeep and special projects as needed.
  • Serve as point of contact for volunteers and students recruited to assist with MTBSCI support.
  • Other duties as assigned.

Compensation: This is a salaried nonexempt .63 FTE position for the third option year of the Montana Bioscience Cluster Initiative federal contract award. Base salary of $31,046 is offered with the anticipation of about 25 hours/week worked by the employee. Benefits equaling $460.68/month will be given to the employee either as an additional cash health and welfare stipend or combination of a cash health and welfare stipend and actual health and welfare benefits (such as health care or retirement benefits). As a nonexempt position, overtime will be paid when the employee works over 40 hours/week and an adjustment bonus will be paid after the end of the contract year should the average hours worked exceed 25 hours/week. Leave time that meets or exceeds amounts required to be given to employees working on Federal service contracts will be provided. Additional hours may be obtained to make this position full-time.

Funding for this position is entirely dependent on federal contract monies secured through January 14th, 2023 in support of the Montana Bioscience Cluster Initiative (MTBSCI). Consequently, the anticipated length of this position is through January 14th, 2023. Any opportunity for employment with MonTEC outside of this initial federal contract date range will be at the sole discretion of MonTEC.

Accelerate Montana is looking for proven, self-motivated leaders to serve as the Outreach & Recruitment Coordinators in the central and eastern regions of the state for the Accelerate Montana Rapid Training Program. This two-year program, funded by the state of Montana, is intended to help Montanans access short term training programs that provide them with the skills needed to fill the significant workforce vacancies and skill gaps that employers are experiencing across the state.

The Rapid Training Outreach & Recruitment Coordinators will be located across all of the regions of Montana and work as a team and in close collaboration with other Accelerate Montana Rapid Training program professionals. Position responsibilities will include the following:

  • Building and maintaining relationships with workforce stakeholders within their defined geographic and/or sectoral areas of focus: employers and employer groups; trade or industry associations; secondary and post-secondary institutions, tribal colleges; Chambers of Commerce; economic development organizations; and Job Service.
  • Gather employer training needs and work with education and training partners and team to identify available training programs.
  • Work with stakeholders and AccelerateMT marketing team to create awareness of training and employment opportunities to drive training course applicants.
  • Work with colleagues to schedule training programs in response to employer hiring needs and applicant interest.
  • Work in coordination with team to support potential trainees through program selection, application, enrollment, participation and also with employer applications, interviews, and placement.
  • Monitoring and tracking the success of training and employment outcomes.

The balance of time across these duties may vary across location and over time in response to the capabilities and capacity of training partners, the relative demands of employers and the level of trainee interest and applications. Position Details

  • Work Schedule: Full-Time (35-40 hours per week). Flexibility to work from home and in person in Montana. Accelerate Montana is headquartered in Missoula, but we are a statewide team.
  • Compensation: $50,000-$70,000 (DOE)
  • Benefits: Health and Welfare stipend and small cell phone plan stipend (retirement and medical plans are under research currently with the intention of replacing the health and welfare stipend).
  • Paid Leave: Federal holiday or alternative days, sick leave, and annual leave after 6-month probationary period.
  • Overnight regional travel would be required for this position.

Accelerate Montana is looking for proven, self-motivated individual Operations Support Coordinator to provide support across economic and workforce development programs. These include, but are not limited to, Rapid Workforce Training, Montana Enterprise Technology Center, Women’s Entrepreneurship and Leadership Lab, Women's Business Center, and Montana Bioscience Cluster Initiative.

The Operations Support Coordinator will be located in the Missoula, MT area and will work remotely and in the office. This position will offer remote support to this program across all of the regions of Montana and work as a team and in close collaboration with other Accelerate Montana Rapid Training program professionals to support this program. Position responsibilities will include the following:

  • Offer support, schedule oversight, and coordination to the Accelerate Montana Rapid Training Program team.
  • Coordinate and provide support to HR, hiring, IT, operations, contract administration, and grants.
  • Perform some Accounts Receivable and Payable duties and cross train in light bookkeeping as needed.
  • Create and maintain a record keeping system for all documentation.
  • Coordinate scheduling and meeting logistics as needed.
  • Support the grant administration and contract process.
  • Support Board of Directors meetings with logistics, materials prep, and recording minutes.
  • Perform general office management duties – order supplies, checking voicemail and general AMT website inquiries
