Accelerate Montana is looking for proven, self-motivated individual Operations Support Coordinator to provide support across economic and workforce development programs. These include, but are not limited to, Rapid Workforce Training, Montana Enterprise Technology Center, Women’s Entrepreneurship and Leadership Lab, Women's Business Center, and Montana Bioscience Cluster Initiative.

The Operations Support Coordinator will be located in the Missoula, MT area and will work remotely and in the office. This position will offer remote support to this program across all of the regions of Montana and work as a team and in close collaboration with other Accelerate Montana Rapid Training program professionals to support this program. Position responsibilities will include the following:

  • Offer support, schedule oversight, and coordination to the Accelerate Montana Rapid Training Program team.
  • Coordinate and provide support to HR, hiring, IT, operations, contract administration, and grants.
  • Perform some Accounts Receivable and Payable duties and cross train in light bookkeeping as needed.
  • Create and maintain a record keeping system for all documentation.
  • Coordinate scheduling and meeting logistics as needed.
  • Support the grant administration and contract process.
  • Support Board of Directors meetings with logistics, materials prep, and recording minutes.
  • Perform general office management duties – order supplies, checking voicemail and general AMT website inquiries

The balance of time across these duties may vary over time in response to the capabilities and needs of the team. Applicants should be comfortable with unpredictable and regularly changing work patterns.

Desirable qualifications for a successful candidate would include many of the following:

  • Past experience as an Administrative Assistant or another operational support role.
  • Demonstrated relationship management qualities and effective interpersonal and written communication skills that show an ability to engage with diverse internal and external stakeholders.
  • Comfortable starting a new position organization and defining their role within the organization.
  • Able to listen, identify, and resolve issues.
  • Able to prioritize tasks and complete multiple tasks in a timely manner.
  • The ability to work independently with minimal or no supervision and be self-motivated in working towards the larger organizational goals.
  • Must be a strategic and creative problem solver who is agile and able to change direction quickly to accomplish a goal.
  • A positive and easy-going attitude, strong work ethic and integrity, and demonstrate calmness and composure in times of uncertainty.
  • Proficiency in the use of Microsoft Word, Excel, and PowerPoint. Experience with HubSpot and Submittable or ability to learn.
  • Comfortable learning and working with a statewide virtual team and using online collaboration and communication tools.
  • Must know, or be able to learn, light bookkeeping skills.

Position Details

  • Position Title: Administrative Support Coordinator
  • Work Schedule: Full-Time (35-40 hours per week). Flexibility to work from home and in person in Missoula.
  • Compensation: $35,000 - $45,000 (DOE)
  • Benefits: Health and Welfare stipend and small cell phone plan stipend (retirement and medical plans are under research currently with the intention of replacing the health and welfare stipend).
  • Paid Leave: Federal holiday or alternative days, sick leave, and annual leave
  • Infrequent travel may be required for this position.

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 lbs. at times.
